Use of Club boats and boat booking policy
1. The full and appropriate use of the clubs boat stock and equipment by all club members is actively encouraged.
2. Appropriate equipment is determined by the individual’s / crew’s ability and weight. It should be noted that the newest boats should not be used simply because they are new while older boats are left on the rack.
3. If you wish to use a boat for the first time, or do not already use it on a regular basis, always seek confirmation from a member of the Captaincy Team prior to use.
4. As we are a club that encourages competition, athletes / crews involving themselves only in non-competitive / recreational rowing are requested to avoid using those items of club equipment that are likely to be required by athletes / crews training for specific events at times when they are most likely to be in use.
5. In principle, all crews regularly representing the Club at Regattas and Head Races (irrespective of racing status) have equal rights to the use of club equipment.
6. The Captain / Captaincy Team shall consider (by the request of the Coach) restricting the use of club equipment in special circumstances. eg. an individual / crew preparing for Henley / National Championships.
7. In general however, boats will not be ‘assigned’ for the sole use of an individual / crew. It is more than likely that boats will have to be shared between several crews at a time.
8. The ‘sharing’ of boats requires flexibility and communication between all parties if it is to work successfully. The easiest way to ensure that all crews have fair and equal use of the equipment is to talk to each other and make arrangements that suit all parties.
9. Should disputes arise that cannot be resolved between the individuals / crews concerned, the matter should be reported to the Captain for resolution. However, notice is given that this is likely to result in the boat being available less to all crews involved.
10. The boat ‘booking’ diary is a way of confirming a firm intention to use the boat at a specific time. However, this should be done in association with communicating with the other crews and not instead of doing so.
11. Only ‘book’ a boat when you know definitely that you are going to use it. Do not use the booking system to register ‘potential’ outings.
12. It is understood that the cancellation of ‘bookings’ will happen on occasions due to illness etc. If a ‘booking’ is to be cancelled for whatever reason, ensure that it is done at the earliest possible opportunity so as to allow for the use of the boat by other club members.
